Your store already knows who your best customers are. It just can’t tell you.
WooCommerce records orders beautifully. What it doesn’t do is answer the questions you actually run a business on:
- Who are my top 50 customers, and what did they last buy?
- Which traffic source brings customers with the highest lifetime value — not just the most orders?
- Who used to order every six weeks and has now gone quiet?
- Which customers have spent over €500 and haven’t heard from us this quarter?
Mega CRM answers all of them in one click. It reads your WooCommerce orders and builds a proper customer database on top of them: one record per person, with every metric that matters already calculated, plus the CRM tooling — groups, statuses, notes, tasks, deals and email — to actually do something about it.
It installs like any plugin, runs entirely inside wp-admin, and never modifies a single WooCommerce order.
One record per customer — finally
Mega CRM merges guest checkouts and registered accounts into a single contact by email address. The person who bought as a guest in March and created an account in July is one customer with two orders, not two half-customers.
Every contact carries, calculated and kept up to date automatically:
| Lifetime value | Total spend, net of refunds |
| Average order value | And their largest single order |
| Order count | Plus items bought and refunds |
| Buying cycle | Average days between their orders |
| Predicted next order | Based on their own personal cadence |
| First & last order | And days since, and days as a customer |
| Acquisition source | First-touch: where this customer originally came from |
| RFM segment | Champions, Loyal, At risk, Hibernating… |
| Churn risk | Low / medium / high, judged against their own pattern |
The customer sheet
Click any contact and you get the full picture on one screen:
- Headline metrics — lifetime value, average order, order count, buying cycle, last order, customer since
- Order history — every order with its status, payment method, source, discounts and refunds, and how many days passed before the next one, so you can see a buying rhythm at a glance
- Most bought products — what this person actually buys, by quantity and by revenue, with the date they last bought it
- Spend by category — where their money goes
- 12-month spend chart
- Timeline — every order, status change, note, task, email and deal in one chronological feed
- Notes — typed as note, call, email, meeting or support ticket, with pinning
- Tasks, deals and sent email for that customer
- Full edit of contact details, CRM fields and group membership
Groups that fill themselves
Build manual lists you curate by hand, or smart groups driven by rules — Mega CRM keeps them accurate on its own, rebuilding daily.
The rule builder combines 21 customer fields (total spent, order count, days since last order, average order value, buying cycle, country, city, source, RFM segment, churn risk, status, first/last order date and more) with 12 operators (is, is not, greater than, at least, contains, is empty, before, after…), matching on all or any condition.
Five useful groups are ready on install: High value, Repeat buyers, One-time buyers, Dormant 90 days, and Newsletter.
Example: “Customers in Germany who have spent over €500 and haven’t ordered in 90 days” is three conditions and stays permanently up to date.
Statuses and a pipeline for people
Seven customer statuses ship configured — Lead, Active, Repeat, VIP, At risk, Churned, Blocked — and Mega CRM moves customers between them automatically as their behaviour changes. A repeat buyer who drifts past their usual reorder window becomes At risk without anybody touching it; one who crosses your VIP spend threshold is promoted on the spot.
Add, rename, recolour and reorder statuses freely, or turn the automation off and drive it by hand. Contacts you mark Blocked are never moved automatically.
Know what your marketing is really worth
Mega CRM reads WooCommerce’s order attribution and records first-touch acquisition source for every customer — organic search, direct, referral, or a full UTM source / medium / campaign.
That unlocks the report most stores never get: not which channel brings the most orders, but which channel brings the customers worth the most over their lifetime. A source with fewer, larger, more loyal customers stops hiding behind one with lots of one-off buyers.
Edit a source by hand and lock it so sync never overwrites your correction.
Eleven reports, all exportable
| Report | Tells you |
| Sales & customer overview | Revenue, orders, AOV, new vs returning — with change against the previous period |
| Top customers | Ranked by revenue in any date range, with lifetime figures alongside |
| Top products | Quantity, revenue, orders and how many distinct customers bought each |
| Acquisition sources | Revenue and AOV per source, plus average lifetime value by source |
| Countries | Revenue, customers and AOV per country |
| Cohort retention | A heatmap of how many of each month’s new customers came back in the months after |
| RFM segments | Your base split into 11 named segments, by customer count and revenue |
| Lifetime value distribution | How customers spread across value bands, and each band’s share of revenue |
| Purchase frequency | How many customers bought once, twice, 3–5 times, 6–10, 11+ |
| Order timing | The real distribution of gaps between orders |
| Churn risk | Who is slipping away, most valuable first |
Every report takes a custom date range (with 7d / 30d / 90d / 12m presets) and exports to CSV or Excel in one click.
Contacts, export and import
Export exactly what you need: filter by status, group, source, country, RFM segment, churn risk, spend range or order count, then pick from 38 columns — from plain name and email through to predicted next order date and top product.
- CSV — UTF-8 with BOM so Excel opens it cleanly, configurable delimiter, and protected against spreadsheet formula injection
- Excel — a genuine
.xlsx workbook with a bold header row and numbers stored as real numbers, ready to pivot
Import brings existing lists in from CSV with automatic column mapping, a live preview of your data, optional full-name splitting, and de-duplication by email — so importing a list onto customers you already have updates them instead of creating doubles. Assign a status, group and source to everything in the file as it lands.
Tasks that don’t get forgotten
Attach follow-ups to any customer: calls, emails, meetings or plain to-dos, with four priority levels, due dates and an assignee. The task screen shows open, due-today and overdue counts at a glance, overdue items in red, and complete-with-one-click checkboxes.
Assignees get an email when a task falls due, automatically.
A deal pipeline for the big ones
Not every sale goes through the cart. Wholesale enquiries, corporate accounts and custom quotes get a proper drag-and-drop kanban pipeline with configurable stages, deal value, win probability, expected close date and owner — with open pipeline and won totals across the top, and every stage change written to the customer’s timeline.
Email your customers from inside the CRM
Write to one contact or to a whole filtered selection. Twelve merge tags personalise each message — first name, company, city, order count, total spent, last order date, even their most bought product.
Bulk sends are queued and delivered in batches so a large list never times out. Every message is logged against the customer, and anyone marked do not contact is skipped automatically.
Built to fit the way WooCommerce actually works
- HPOS and legacy storage — works with both WooCommerce order storage modes, no configuration
- Live sync — new orders, status changes, refunds and new user registrations flow into the CRM as they happen
- Batched import — the first full sync walks your history in small batches with a live progress bar, so even a large store can’t time out
- Fast reports — orders are mirrored into indexed CRM tables, so a report is one query instead of loading thousands of order objects
- In the order screen — a CRM panel on every WooCommerce order showing that customer’s lifetime value, average order, source and which number order this is for them
- In the users list — a CRM column linking straight to the customer record
No dependencies, no accounts, no monthly fee
Mega CRM is entirely self-hosted. There is no external service, no API key, no subscription and no data leaving your server. It ships with no third-party libraries at all — the charts are a purpose-built SVG renderer and the Excel writer is native PHP, so there’s nothing to keep patched and nothing to slow your admin down.
What’s included
- The Mega CRM plugin (installable
.zip)
- Architecture and data-model documentation
- Full source, no encoding and no obfuscation
- No external service, subscription or API key required
Frequently asked questions
Does it change my WooCommerce data?
No. Mega CRM reads your orders and users and writes only to its own tables. Your orders, products and customer accounts are never modified.
Will it work on my store’s order storage setting?
Yes. Both High-Performance Order Storage (HPOS) and the legacy post-based storage are supported, with no configuration.
I have thousands of orders. Will the first import time out?
No. The initial sync processes orders in small batches over AJAX with a progress bar, so it works on shared hosting. After that, orders sync live as they come in.
Does it slow down my admin?
No. Orders are mirrored into indexed CRM tables when they change, so reports run as single queries rather than loading order objects. The plugin also loads no third-party JavaScript libraries.
What happens to guest orders?
They become full customer records. If that person later registers with the same email, their guest orders and account merge into one contact automatically.
Can I import my existing contact list?
Yes — CSV import with automatic column mapping. Contacts that already exist are updated rather than duplicated, matched on email.
Does data leave my server?
Never. Mega CRM is entirely self-hosted with no external calls.
What happens if I uninstall?
Your CRM tables are deliberately kept, because notes, tasks, deals and segmentation work cannot be rebuilt from WooCommerce. Removing them is a documented manual step, so an accidental deactivation never destroys your work.
Is it translation ready?
Yes. All strings use the mega-crm text domain and the plugin ships with a /languages directory.
